Project Folder Audit

Every active project, measured against ANC’s own folder template.

Each project folder under ANC Current Projects was walked in full and compared against the 14-folder template ANC already publishes in that same library, then joined to the CRM by project number to attach a value to each gap.

Four gaps that carry a number

Each figure is the CRM value of the projects in that bucket — read live from the opportunity record matched by project number.

$22,735,797
No invoices filed
22 projects

Active project folder with an empty Invoices folder and a value on the books.

$12,087,123
No owner contract filed
13 projects

Project value on the books with nothing in the Contract (owner) folder.

$9,627,702
Closeout not filed, past completion
9 projects

Substantial completion date has passed and the closeout folder holds no documents.

$7,265,400
Effectively empty project folder
3 projects

A live deal whose entire project folder holds five files or fewer.

These buckets overlap and must not be added together. 25 distinct projects carry at least one of them, worth $30,001,196 combined. Value is a floor, not a ceiling: 77 of 87 folders matched a CRM opportunity, and some matched records carry no amount at all.
By folder

Which of the 14 folders go unfilled

Across the 79 projects that adopted the template. A folder counts as unfilled when it holds no documents anywhere beneath it.

8 projects never adopted the template

These hold their documents under their own structure. Their contents were counted but no per-folder claim is made about them — an absent template folder here is a filing convention gap, not evidence a document is missing.

How this was measured

  • Every folder under ANC Current Projects was walked to full depth, read-only, on 2026-08-30. Nothing was created, moved, renamed or deleted.
  • The template is not invented — it is read live from the !Folder Template folder that sits in that same library, and it defines all 14 folders.
  • A folder counts as empty only when no file exists anywhere beneath it. A folder holding only empty subfolders still counts as empty.
  • Projects were matched to the CRM on the six-digit project number in the folder name. Value is taken from the opportunity amount, falling back to total project revenue where the amount field is blank.
  • What a finding is: a filing fact — this folder holds no documents. It is not proof the document does not exist. A contract may be signed and living in email, in the finance system, or in a different library. That is precisely the point: it cannot be found where the process says it lives.
  • Projects that never adopted the template are reported separately and excluded from the per-folder counts, so their structure is not mistaken for missing paperwork.

What this does not cover

  • Finished projects, current bids and lost bids — this pass reads active projects only.
  • Document contents. Nothing was opened or read; only presence, count and modified date.
  • Whether a filed document is the current, signed or approved version.
